Faster, easier, more environmentally friendly: 7 arguments for sending invoices by e-mail

Just because you’ve “always done it this way” doesn’t mean it’s a good thing. The start of a new year would be a good opportunity to rethink old habits: sending invoices by post, for example.

In this post, you can read 7 reasons why it makes sense to use email instead of post when sending invoices in future.

#1) Save on material costs: If you send invoices electronically (for example with 1Tool), it can be up to 100 times cheaper than sending them by post. After all, you save on printing costs, stationery, envelopes and postage.

#2) Reduce labor costs: Clicking the SEND button is much faster than printing, folding, inserting into the envelope, sticking the stamp on and placing in the outbox (or taking to the post office).

#3) Sustainability: Sending an e-mail is more environmentally friendly than transporting a letter from A to B by truck. What’s more, you don’t need envelopes when sending an e-mail, which means less paper.

#6) Uniform discount period: Your customer calculates the discount period from the invoice receipt date, you from the dispatch date. If you send your invoices by post, the date of dispatch and the date of receipt are naturally not the same. This is not the case with electronic dispatch: dispatch date = date of receipt. The date on which the discount period begins to run is therefore the same in your accounting system as in your customer’s accounting system.

#7) Shorter payment period: As there is no need for postal delivery and the payment period for your customer begins on the same day as for you (dispatch date = date of receipt, see above), the payment period is shortened (no need for postal delivery).
