1Tool® Version 3.2.18

We have developed some new functions for you so that you can continue to use our 1Tool business software in the best possible way to manage your company. The new version 3.2.18 went online at the beginning of October 2015. We would now like to give you a comprehensive insight into the latest features of the software and their benefits.

Invoices

When creating invoices, the new 1Tool version 3.2.18 allows you to define discountable and non-discountable products. As soon as you invoice several products, the respective discount is only deducted from the discountable products. You make the setting for this yourself for the product under Master data – Products by activating the “Discounts allowed” checkbox.

You can also use the “Show discount” checkbox to determine whether the respective discount is shown separately in a line at the bottom of the PDF invoice document.

Sending tax-free invoices is now also possible with the new version 3.2.18. You can use a checkbox in the individual contacts to define whether they receive a tax-free invoice or not. If the checkbox is activated, this is automatically taken into account when the invoice is created by setting the VAT to 0%. A text indicating the tax-free invoice is also inserted via a placeholder.

In addition, numerous other placeholders have been developed for invoice creation so that you can now choose whether the long, short or extended product description is embedded in the invoice.

The background for the invoices in PDF format can now also be defined individually by uploading your desired background directly to the invoice area/order area and then selecting whether this background should also be displayed when downloading and sending e-mails.

Products

If you select the frequency “monthly” when specifying the price of a product, the total price is not calculated for a whole year, but according to the specified period. This means that you can define exactly how many months should be calculated.

Applicant management

For optimum management of your applicants, the new 1Tool version offers a longlist and shortlist display of applicants. While all applicants are shown in the longlist, the shortlist also contains applicant-relevant criteria. In the shortlist, for example, your applicants are listed in columns and their ratings with regard to various criteria are listed in rows. You also have the option of exporting these lists as an Excel file.

The newly added button also allows you to add an applicant to your applicant management with just one click.

Furthermore, you can now also create a creation date for each applicant so that you can recognize current applicants at a glance by sorting by date. Applicants who also have the status “placed” are automatically marked as “not available” and “yellow”.

Time recording

Some new features have also been implemented for time recording. Firstly, you can now print out your time recording report with one click using the print button. Furthermore, the view for the time recording admin has also been revised and now has a new, clearer display. With the new 1Tool version, the activities in the daily time recording emails are now listed alongside the respective project and task.

The “Add as comment” checkbox is also a special feature for time recording. If this is activated, your comment is automatically saved with the respective project and the corresponding task. You can also define under your personal user settings whether this checkbox should always be activated or not.

Live chat

We have created a live chat on our Körbler website and in 1Tool so that we can process important inquiries and support requests from our customers even faster. Type your message into the chat window and our support staff will answer your questions immediately.

Calendar

For your calendar events, you can use the new version 1Tool software to determine the roles of your participants.

You also have the option of defining participation restrictions for events. For example, you can specify that participants may attend your event a maximum of 3 times a week, even if it takes place 5 times. If desired, it is of course also possible to receive an e-mail notification as soon as this participation limit has been reached.

Warehousing

To simplify the logistical process of your retail operation, the new version 3.2.18 allows you to define multiple warehouses. In addition, you can also manage purchases optimally by selecting specific information for each delivery, such as the respective store, the corresponding warehouse, the specific product and the product quantity.

Contacts

The view for contact groups has also been revised so that the respective contact type can be seen at a glance. In addition, the “Last contact time” is automatically reset for a contact as soon as a comment has been added to it.

Favorite contacts

Another new feature is the “My favorites” function. For each contact, you now have the option of using the “star” symbol to define your top contacts, which are then clearly displayed under Contacts – My favorites.

This makes communication and regular contact with important customers or partners much easier, and sales opportunities and turnover levels for each favorite are also listed in a structured manner. This means you know at a glance which customers and partners you need to be in consistent contact with in order to maintain and sustain the business relationship.

 

Order management

Order management has also been optimized with the new 1Tool version 3.2.18. You can therefore define your own fields for creating orders and use these as templates for your invoice and quotation documents.

Such fields can, for example, relate to the delivery date, the performance period or similar important company data. Under Master data – Sales – Orders, you have the option of creating individual fields for your orders that are optimally tailored to your company and your industry.

This helps to make invoicing and quotations much faster and order management more efficient.

Sales opportunities

If an opportunity is set to “Won”, the customer status is automatically changed with the new version of 1Tool by assigning the contact to a desired contact group (e.g.: contact group Customers or contact group New customers etc.). If the contact already exists in another group (e.g.: Potential customers group), you can define whether the contact is automatically removed from this group as soon as the sales opportunity has been won.

Furthermore, an opportunity is set to “Won” when a new project is created from the opportunity using the “star button”.

E-mail message template

The new 1Tool version 3.2.18 enables the creation of various e-mail templates, such as birthday e-mails, reminder e-mails, etc.

These templates can be set up under Master data – Contacts – Mail templates by defining the name, subject and e-mail text including placeholders.

If you then call up a contact, you can use the “letter symbol” to select the desired e-mail template and send your individual and personal message to your customers and partners at the touch of a button.
