New 1Tool version 3.3.16 online!

Once again, we have come up with new ideas for the further development of 1Tool. And the results are quite impressive: Controlled customer surveys, perfectly planned newsletter campaigns, optimized applicant management – we present to you the new 1Tool version 3.3.16!

GENERAL

Survey series

Surveys could already be created quickly and easily with 1Tool for your employees or customers. With the new version 3.3.16, however, these can also be set up as a series. A survey series offers the option of sending surveys on specific topics to contacts according to a defined schedule and setting their validity at the touch of a button.

You create a survey series under Master data – Organization – Survey series by first generating a survey series and then adding the individual, previously created surveys. You then determine the validity and when the survey is to be sent out via the “Survey postponement” field – if there is a “0” in the field, it is sent out immediately, otherwise the sending is always calculated from the defined start date of the survey.

Please note that you must always select the “Surveys” mail template for sending surveys by mail and create it in advance!

To determine which contacts receive which survey series, add the “Contact survey” module to the respective contacts, select the corresponding series and start it. Surveys received and the respective participation status are then visible for each of your contacts.

TASKS

Create tasks

With the new 1Tool version 3.3.16, you can now also manually define and change the creator of a task. So if you create a new task or edit it subsequently, 1Tool offers you the option of editing the “Created by” field yourself.

Task overview

As already mentioned in the last newsletter, the entire layout of the task overview has been optimized. To maintain clarity, longer task names are now shortened with ellipsis (…). However, so that you can see the entire name without having to go to the detailed view, a so-called tooltip field opens as soon as you move the mouse over the task name.

TIMING

Time recording type

To optimize time recording, the “Type” field has been removed. If you book time to a specific project and task, it is automatically clear that this is normal working time. Vacation, half-day leave, special leave or time off in lieu can now be easily entered in the “Activity” field.

NEWSLETTER

Campaign management

The new 1Tool version 3.3.16 now also improves the success of your newsletter mailings. Similar to surveys, you can use your own campaign management to bundle several newsletters into one campaign and determine their dispatch date at the touch of a button. The advantage over conventional newsletter mailings is that an entire campaign is sent out automatically, but these campaigns can also be selected for individual and very specific contacts.

A separate button is available in the contact detail view to add a contact to a campaign. Another option is the contact search – filter and select your desired contacts and then carry out the relevant action using the “Add – Newsletter campaign” button.

You can create a campaign under Marketing – Campaign management by first creating a campaign and then adding individual newsletters that have already been saved.

Sales opportunity source

So that you can also measure the impact of your newsletter campaigns on your sales opportunities, the “Newsletter campaign” option is available to you when creating a new sales opportunity or when subsequently editing it in the “Source” field. You can also define exactly which campaign was used to draw the customer’s attention to you. In this way, you can not only continuously optimize your mailings, but also improve your controlling in the long term.

APPLICANT MANAGEMENT

Mail templates

In applicant management, it was possible to send previously defined e-mail templates (e.g. rejections, acceptances, evidence, etc.) to the respective applicant at the touch of a button. With the new 1Tool version, an additional button has been added that also allows the mail to be sent to the main contact of the respective project. In addition, all documents that have been added to this project can also be sent to the respective main contact.

Resume widget

The entries in the CV widget can now be easily edited using a dedicated text editor and thus formatted quickly and easily. The “Document templates” widget also allows you to create a document for the respective contact directly. If you have previously created a CV document template, the relevant information from the “CV” widget, including the formatting of the HTML editor, is transferred to it.
