Over the past few weeks, our team has once again been working hard to improve and develop 1Tool. Numerous sophisticated features for sales, organization and finance are now available in the new version 3.3.27. We hope you enjoy testing the new functions and look forward to your feedback!
SALES OPPORTUNITIES
Sales opportunities dashboard
With the new sales opportunity dashboard, you always have an overview of your sales opportunities and their status. Thanks to the different colors of the sales opportunity phases, you know at a glance how many of your sales opportunities are in the quotation, initial contact or negotiation phase, for example, and how much potential revenue is involved.
In addition, a dedicated drag-and-drop function allows you to easily move an opportunity to another phase. This allows you to manage your sales opportunities in the best possible way and plan further action steps optimally.

CONTACTS
Automatic contact type for contact persons
With the new 1Tool version, you no longer have to define the contact type (e.g. company, department, contact etc.) separately when creating a contact person. As soon as you select a new contact person, the contact type that is defined as the contact person for the main contact is stored for this contact.
For example: You want the contact persons of a company to always be departments. You first make this setting under Master data – Contacts – Contact types . Select your contact type (in this case “Company”), go to the “Contact person options” tab and enter your desired contact type (in this case “Department”) in the “Contact person contact type” field.
As soon as you define a contact person when creating a new company, only the contact fields for a department are displayed for completion.

Clear contacts thanks to tree structure
Previously, when assigning a main contact to a contact, all contacts that matched your input were listed in a jumbled list. In the new 1Tool version 3.3.27 there is now a clear tree structure so that you can immediately recognize main contacts and associated contacts at a glance.
Longitude and latitude for contact export
For the contact export, the longitude and latitude of the contact address have been added so that this data is also listed in the Excel document or in the CSV or vCard file.
TASKS
Daily task report
Like the time recording report, the daily task report also provides an overview of all employees and their activities. However, not only booked tasks are displayed here, but also planned hours and the respective task progress. In addition, you always have an insight into which project or sales opportunity the respective task belongs to.
The report is sent out daily at 07.00 in the morning. Of course, you can define which employees should receive this report. You can also specify if tasks of a certain employee should not be included in the report (“Ignored users”). You can find the settings for this under Master data – Organization – Time recording – Time recording report under the section“Manage recipients (daily tasks report)”.
FINANCES
Manage daily receipts
The new 1Tool version offers you a new financial feature with which you can manage and control your daily income. At the end of the day, you can enter the respective turnover for each of your invoice groups based on the invoices you have entered. This function is available under the menu item Finances – Daily takings where, after clicking on the “Create daily takings” button, you simply select the relevant date and the respective invoicing area and you will receive a structured list of all your daily takings.
Thanks to the link to the invoices and the invoiced products, the daily revenue per product category is listed and you always know what percentage of the daily revenue was generated with which product group. Your list can also be exported as an Excel file at the touch of a button.
New columns in the invoice overview
The new 1Tool version provides you with two new columns in the invoice overview. Firstly, you have the option of displaying the federal state of your respective invoice contact, and secondly, there is now a “Links” column that shows links to other invoices or credit notes at a glance.
For example, if there is a partial invoice or a credit note for an invoice, this is displayed directly next to the corresponding invoice.
Amount filter
With 1Tool version 3.3.27, you can now also filter your invoices by total amount. To do this, click on“Amount” in the drop-down menu of the corresponding field and enter the value you are looking for in the quick search field. All invoices with the total amount entered will then appear.
Remove payment date
Until now, it was not possible to delete a set payment date on an invoice. With the new 1Tool version, you have the option of deleting the payment date for an invoice marked “paid”. This also automatically removes the checkmark for paid invoices from the invoice overview.
CALENDAR
Calendar print version
With the new 1Tool version, you can now easily print your 1Tool calendar in a structured view. Print the web page while you have 1Tool Calendar open and you will immediately see the preview of your calendar print version.
Calendar events for several categories
With the additional calendar function in the new 1Tool version 3.3.27, you can now create events for several categories at the same time. To do this, create an event as usual and enter all the relevant categories in the “Category” area. After saving, the event is created individually for each of the stored categories.
SEMINARS
Participants without invoicing
Previously, when you moved your course participants from the waiting list to the participant list, an invoice was always automatically sent to the relevant contact. With the new version, you now have your own button in the course administration that allows you to move candidates to the participant list free of charge.
PDF download of the seminar information
With the new 1Tool version, you can easily download your seminar information as a PDF file at the touch of a button. Simply click on the green download button in the overview of your courses.
Course start and end date at a glance
Thanks to the “eye” symbol, the course overview not only gives you an insight into the number of your individual courses, but also their start and end dates and the respective number of participants.
To obtain this information, simply move the mouse over the corresponding “eye” button. The respective date and the corresponding number of course participants will immediately appear in brackets.
You can view the start and end dates of your courses not only in the course overview, but also in 1Tool Quick Search at the top right. As soon as you type in the name of your course, the necessary information will appear below it.
DASHBOARD
New invoice button
The new 1Tool version also provides you with a new dashboard button for your finances. This takes you directly from your dashboard to invoice creation with just one click.

New seminar widget
Thanks to the new seminar widget (“Last registrations”), you can now view your most recent course registrations at a glance on the dashboard. In descending order, you can see which people have registered for which courses. If the event belongs to a higher-level course, this is also displayed for a better overview.

GENERAL
User rights Task creation
With the new 1Tool version, the assignment of new user rights has been introduced. It is now possible to restrict the creation of project tasks for corresponding user groups and instead only allow the creation of tasks for contacts and sales opportunities.
This prevents you from exceeding planned project times and allows you to keep an eye on your projects and activities at all times.
You make this setting under Master data – User rightsby activating the checkbox for“Create contact and sales opportunity tasks” under “Tasks”.
Personalization of your 1Tool access
As soon as a new 1Tool client is created for you and a user logs into 1Tool, the user interface can be customized and adapted to your day-to-day business.
After logging in, a pop-up window appears where you can enter important data to start using 1Tool software immediately. You can also adapt the colors and logo immediately after logging in.
