Edit documents/folders

The document management, which you see under Organization - Documents find, offers a clear presentation of your documents and is also easy to use for mobile devices.

You can also use the filter to search for important documents without much effort.

1. Edit File

Here you can change the name of the file and add a description to the document. You can also activate the file link for the public here. If this is activated, you can download the file by calling up the link, even outside of the 1Tools. You can therefore send and publish the link. If the link is disabled, the file cannot be downloaded using the link. Click Save to save your settings.

2. Edit Folder

Here you can change the name of the folder and add a description to the directory. You can also change the color of the folder here. Click Save to save your settings.

3. Download

Click on the download icon to load the file. You can also download the document by double-clicking on the file name.

4. File link

Click on the Public Link icon to activate and copy the public link of the file. To copy the link click on "Copy to clipboard“. By calling up the link you can download the file, even outside of the 1Tools. You can therefore send and publish the link.

Attention: With the publication of the link, the document can be accessed via a normal link and possibly also via search engines.

5. Description text

A speech bubble symbol is displayed for documents and folders that have a description. If you move the mouse over this symbol, the descriptive text becomes visible.

6. User

This column indicates which user uploaded or created the file/folder. If you move the mouse over the user picture, the name of the user is displayed.

7. Delete

Click the Delete icon to delete documents or folders.
If a folder is deleted, all subfolders and the files in them are also deleted.

8. Update

Click on the refresh icon to reload the document tree.

  • A
  • File Type
  • Size
  • Date

Hover your mouse over the image's filename and a thumbnail of the file will appear on the right.

Create a new folder

On the left under the document tree you will find the area "new folder“. In the document tree, select the higher-level directory in which you want to store your new folder. In the text field, enter the desired name and choose a color for the folder. Then click on "Create" to create the new directory. If no folder has been created yet, a folder is automatically created as a parent directory when it is created.document management_new folder

to upload documents 

On the right under the document tree you will find the area "Upload files".

In the document tree, select the higher-level directory in which you want to store your document.
There are 2 ways to upload files.

  • Default Upload

Click on "Upload" and select the desired files. You can also upload multiple files at the same time by marking multiple files.

  • Drag and drop

Use your mouse to drag the documents from your desktop directly into the 1Tool Window. The documents are automatically loaded into the selected directory. If no folder has been created yet, a folder is automatically created as a superdirectory during the upload.

Move folders and documents

To move documents or directories, drag the desired element in the document tree into the new parent directory.
