To send your newsletter to customers, prospects, etc., click on the “Save and select recipients” button in the newsletter preview area or select your recipients without saving your newsletter (“Select recipients without saving”).
On this page you can use various filters to send your newsletter to the target group.
Make a preselection:
- Send to all addresses
- Send to specific addresses
If you would like to send newsletters to specific addresses, you have several filters at your disposal.
Filter | Description |
Contact groups | You can filter through your initially defined contact groups, such as employees, suppliers, customers, etc.
IMPORTANT: Even if a recipient is in several contact groups, the newsletter will of course only be sent to them once. |
Products | If you would like to filter by product, click on the appropriate checkbox and all your stored products will appear. For example, you can now send the newsletter to those contacts who have already bought a certain product. |
distribution lists | Click on the checkbox next to “Use distribution lists”. All the mailing lists in the 1Tool created distribution lists are displayed. Here you can determine whether a contact must be assigned to the marked distribution list AND the marked contact group in order to receive the newsletter or whether it is sufficient to belong to the respective distribution list. |
Events / dates | Select recipients based on specific events/dates. Example: If a customer has taken part in a specific seminar, he will now be sent a newsletter for a follow-up seminar. |
Additional filters | You can use additional filter options to select your contacts even more precisely and according to demographic data such as name, zip code, location, etc. |
shipping time | Enter the shipping time here. If you select a past time, the newsletter will be sent immediately. |
Below you can also send your newsletter to marketing contacts - marketing contacts is an automatically created contact group.
Distribution list filter example
If you would like to select your recipients according to distribution lists, activate the checkbox "use distribution lists“. Finally, your created distribution lists appear. You can select these by ticking the box. In addition, you can determine whether your recipients are in a Contact group AND in the distribution list must be present or the contact in the Contact group OR the list must occur.
Additional filter options - example
An example of using the additional filter could be to restrict your recipients by zip code. There are now various ways of entering this.
IMPORTANT: You can distinguish between two characters when entering, Joker and Wildcard. The wildcard character is a percent sign (%) and can be used as a placeholder for any number of characters. The wildcard character, on the other hand, is an underscore ( _ ) and replaces one character at a time.
Possibility Number 1 | You would like to send your newsletter to all contacts in Styria. The postcodes have four digits and start with the number 8. |
solution 1 | First select the character in the ZIP code field <> via the drop-down menu. Then enter the following: 8th _ _ _ (3 underscores, without spaces) This now indicates that the number consists of a total of 4 characters, with the underscore replacing any 3 numbers. In this way, your newsletter will be sent to all contacts whose zip code starts with 8. |
Possibility Number 2 | You now want to limit your recipients to the Leibnitz area. The postcodes for this also have four digits but begin with the digits 84xx. |
solution 2 | You choose that too <> sign off. Then enter the following: 84_ _(two underscores, without spaces to the digits and below each other). In this case, the % sign replaces any number of numbers (here 2), so your newsletter will be sent to all contacts with a postcode that starts with 8 and 4. |
Possibility Number 3 | You would like to send your newsletter to all contacts in Styria and Bavaria (DE). In contrast to Austria, the postcodes for Germany have 5 digits, the postcodes for the areas within Bavaria also begin with the number 8. |
solution 3 | After selecting the <> Enter the following in the field: 8%. Since the percent sign replaces any number of numbers, your newsletter will be sent to both four- and five-digit postal codes beginning with the number 8. |
Preview all recipients
Your recipients will be selected in the “Preview recipient” is listed. Now click on “To selected recipients”, the newsletter will be sent to all these contacts.
