Many vendors promise automatic merging at the push of a button – but that is often the worse solution. Why blind auto-merging is risky

Automatic merging usually follows rigid rules: the newer record wins, or the more complete record wins, or a particular field is always preferred. The problem: real contact data is rarely distributed so neatly. Often the older record has the correct phone number, while the newer one contains incorrect or incomplete details for the company address. A rule that blanket-prefers one of the two records inevitably causes data loss in such cases – and that loss often only becomes apparent weeks later, when a call goes nowhere or an invoice is sent to the wrong address. In CRM databases that have grown over many years, this risk is real. Any automatic rule based on completeness or recency can be wrong in an individual case – and with a duplicate there is no second chance once the discarded record has been deleted.
