1Tool is continuously being further developed by us and therefore also offers numerous new functions with the current version 3.3.2, which will make your everyday business easier. Whether it's a quick search, reminders of sales opportunities or contacts via reminders or new options for evaluating invoices - 1Tool optimizes your business processes!

Sales data invoices

With the new 1Tool version it is now possible for you to display individual billing reports for each individual contact. There is a separate widget for this called "Sales Data Invoices" that you can add to each of your contacts. As soon as an invoice is generated for this contact, this is also visible in the invoice report. Here you can select a self-defined period for which the sales of the contact as well as a comparison of paid and unpaid invoices are displayed in graphic form.

Dynamic attributes for invoices

You can now also define your own dynamic attributes for invoices. This gives you the opportunity to define customer-specific fields yourself so that you can enter the information that is relevant to your company when generating your invoices. You are free to choose whether these attributes are a checkbox, selection list, table or the entry of a date, text, an integer or a floating point number.

Shipping Rate

As part of invoicing, you can now use the current 1Tool Version 3.3.2 shipping costs are deposited. The setup of the shipping costs is carried out by us and is based on the respective country and the gross costs.

Invoice reports by period

With the earlier ones 1Tool Versions was only possible to filter by years for invoice reports. The latest version 3.3.2 now allows the display of invoice reports for a self-defined period. You can have sales and paid/unpaid invoices displayed graphically per month or for several months at the same time.

Create invoice in new phase

As can already be done with orders, it is now also possible within the invoice overview to generate a second invoice or an order based on an existing invoice. In the area Finances - Invoices - Overview you can change this setting via the column "Next" meet.

As soon as you click on the "arrow" symbol of this column, a new window appears entitled "Create invoice in a new phase“. Here you can now select under "Type" whether an offer, an invoice or an order confirmation should be created based on the invoice. In addition, you also have the option of defining the creation date and time as well as your own fields for it.

Notes on stock levels

In order to be able to optimally handle your storage processes and your ordering system, you will receive the new 1Tool Version 3.3.2 Notes on your stock levels when invoicing. This means that if you fall below your deposited minimum inventory You will receive information about this so that you can immediately place a repeat order for your product.

You will also receive a message directly in the invoice if you want to invoice a quantity that is not available in your warehouse.

Stock credit

If a customer wants to exchange or return a product, you must add it back to your inventory. To make this chargeback process as easy as possible, the new 1Tool Version the creation of a credit note. To do this, place under Master data - Sales - Orders - Order groups own order group 1Tool or use an already existing task group. In the settings of the task group, activate the checkbox "credit stock“. If you now create a new order with the corresponding order group, the entered quantity will be credited for the selected warehouse.

Custom Fields in Create Order in New Stage Area

When generating orders, you also have the option to add your own fields and creation date and time when creating an order in a new phase. Go for this Sales - Orders - Overview and then click the yellow arrow icon. A separate window appears in which you can now make your settings. Of course, you can also generate an invoice or order confirmation based on an order. If the "Type" invoice is selected, you can also specify the payment type (e.g. cash, credit card, direct debit, etc.) individually.

product images

With the new 1Tool Version 3.3.2 it is no longer necessary to manually crop the images added to a product. These are now automatically cropped to a specific width so that the image is scaled to the same aspect ratio and displayed as a preview image. You can find the setting for this under Master data - shop - configurationby ticking the checkbox at "Always use the whole image as a thumbnail"Activate.

Find appointments using the quick search

With the new version 3.3.2 you are able to search for your calendar appointments in the simplest way - using the 1Tool Quick search in the upper right corner. Once you type the first three letters into the search, generated 1Tool automatically suggests which contacts, opportunities, projects, and now appointments, would match your input. This means that important information can be found quickly and easily.

Adding multiple addresses

From the new one 1Tool Version is also a separate one for your contacts Address widget available, with which you have the option of storing and managing multiple address data for your contacts. You can also set each added address as the main address or as the main billing address with one click. In addition, these addresses are also taken into account in the contact search.

Create any number of sub-contact groups

With the new version 3.3.2 the creation of sub-contact groups is no longer restricted. Unlike before, a maximum of two higher-level contact groups are permitted, but an unlimited number.

Resubmissions

There is now also a new widget for the dashboard. This is used to make resubmissions of sales opportunities and contacts recognizable at a glance so that they are not forgotten and deadlines are always met. Like any other module, the widget is under Master data - User settings - Management module - Dashboard, to add.

In addition, the resubmissions can be sent by e-mail. These are then in different colors, like a Traffic light system, shown. So you can see the urgency of this at a glance. For example, the resubmission appears in green if you still have enough days until the deadline, but one week before the deadline it appears in orange, and one day before it in red. The days after which the resubmissions should be colored can be customized under Master data - Sales - Settingsset n.

Opportunities for resubmissions

The traffic light system takes place with the new 1Tool Version also application within Opportunities. A separate column is displayed in the sales opportunity overview, which indicates the urgency of the sales opportunity using the different colors. The prerequisite for this, however, is the definition of a resubmission date and the sales opportunity status "Open". The sales opportunities are generally displayed in orange or red, the marking in green (= currently nothing to do) must be made manually for the sales opportunity itself. The setting after how many days the colors should change is also shown under Master data - Sales - Settings Are defined.
